The Figtree suite of products are built upon a Housekeeping Module that contains and administers the functionality and features that are common to all applications. The Housekeeping functionality is inherent to all of Figtree's various applications is used to secure, configure and manage the structure of the system and add on functionality that may be applicable to more than one application. Following are some of the features (business rules) that are available within the Figtree Housekeeping module: Account Year Configuration This menu option allows you to divide your financial year into sub-accounting periods, which are contained by their own, commence & cessation dates. Ad-Hoc and Standard Reporting In addition to the many standard reports, Figtree provides an easy to use Ad-Hoc report writing facility. This enables the user to design and save customised report templates for specific reporting requirements. The graphical Ad-Hoc Report Writer has an intuitive "point & click" interface that allows novice users to generate the reports they want in seconds. Virtually any information in the system can be selected, linked to related information, filtered, sorted and grouped. The output can be printed as a presentation quality document or a graph, alternatively, the data can be sent to another Windows applications such as spreadsheets for further manipulation and styling. Variety of Figtree standard reports can be viewed in each solution’s standard application features. Batched Reports Maintenance Reports are normally spooled and printed on demand. However there are some reports, such as the Expense Dissection Report, that take considerable time to generate. Use of the Batched Reports Maintenance facility will allow you to set up one or more reports and send them to the Spooler at a convenient time. Calculated Fields Figtree has a calculated fields function to enable the user to use programming functions such as, if statements, maximum values and averages to create their own procedural code. Any new field created as a calculated field can then be added to the screens. Case Notes A comprehensive notes function allows the recording of free-form information or standard notes. These are held as part of the transaction log and include coded notes such as telephone calls, reminders and diary entries. This facility provides a one-screen summary of all financial and non-financial transactions associated with the record. The notes may also be coded for analysis and reporting. Codes Maintenance This practical feature enables the user to set up code tables to statistically the circumstances of accidents and incidents. From this coded data analytical reports and graphs are generated. Codes can be added, updated and deleted. Codes Maintenance is a highly configurable feature that allows the system to integrate accuracy with functionality when performing critical tasks. Client Maintenance This screen is used to establish new clients within the system, define their applicable access as well as amend and delete existing clients. Colour Configuration This menu option is used to define the colour schemes that are to be utilised within the applications Fields, Field Labels, Folder Tab labels and Editor Boxes. Colour configuration can either be global or specific to an individual User Id. Currency Maintenance This menu option provides you with access to either, update the currencies being used within your transactions as well as adding new currency types. Database Dump and Reload This feature will be utilised to dump and restore either a previously backed up database or one that has been obtained from Figtree Client Services. Diary and Follow-up System Figtree has a powerful in-built diary system to assist with the day-to-day management of Risk. Diary entries can be created from any part of the system, and these are linked to the record from which they originated. Follow-up action can be program controlled to escalate to higher levels of management if not completed within the scheduled time. Graphic Representations This menu option is an extension of Ad-Hoc reporting functionality. Graphical display of your ad-hoc reports is possible by highlighting the report and selecting options available on the Graphics toolbar. (Sample graphic: left)
Hyperlinks Users can set up hyperlinks on system forms or within the data itself. These can point to Internet or Intranet Web sites or to any documents accessible over the client's network. This makes immediately available and with minimal effort online procedure manuals, reference material, documents and images specific to incidents and hazards, in fact, access to almost any information in any medium. Integration with Office Applications Imaging - The imaging capabilities within Figtree can enable scanned photos of investigation, invoices, medical reports and the like to be held against the record. The format of these files are held as PDF files and Figtree will simply "shell out" to the imaging software to view the desired image. FigWord - The Word Link feature is a link that is established between the Figtree application and Microsoft Word. Templates can be created that are populated with the fields from the database that you have selected. This allows you to improve the level of output and appearance of letters. An additional feature is that once a letter has been generated through Microsoft Word, a diary entry is created and stored in the Notes folder, and the letter is saved against the record. FigExcel - Graphics can be produced within the Figtree application or they can be linked to your Excel software for further manipulation. Integration with Mail (MS Exchange) Accessed from the floating menu (right mouse click). Email access is a unique feature that permits you to correspond electronically with other users on a Network or to an external source without having to exit the application session. Utilising the latest in ActiveX controls, this facility will automatically access the Email application being useAs part of sending electronic messages, users can also attach files and populate your electronic messages with the data imported into the database fields referenced within a letter created by the systems' Letter Writer with Microsoft Word link. Letter Writer Letter Writer provides you with the facility to produce standard letters supported with merge data fields that can be attached to specified records. Organisation Structure Maintenance Figtree Organisation Structure feature allows you to easily identify the part or area of your organisation to which specific accounting & reporting functions belong. This highly configurable tool distributes each record, irrespective of its type within the system to be allocated against an organisational structure.This is a highly sophisticated programme that can interfaced with other data management systems. Relational Links – Up to 10 Relational Links is a special new feature in Figtree that allows users to “link” records across modules. As standard, new and existing client can create up to 10 relational links (and in addition to their exiting field links). A special license feature is available for those that require more than 10. Security Maintenance An advanced security management utility is incorporated into the system. This ensures that only the relevant users access any sensitive information. Security can be used to control access to system functions and also to the data itself. Security records provide access to the functions throughout the program and are set up on an individual basis. Clients can set up over 700 unique user names within the system. Only users who have been deemed ‘System Administrators' can access the security maintenance system. The administrator can also limit which of those users have access to this facility. The Security Browser listing displays each security that has been allocated. The users have the option to view the details in an enquiry only window, add a dialog window in which you can allocate new user security set up, or update a user configuration dialog box The System Administration facility enables access and control of the system configuration features, held within the Figtree housekeeping module. These include features such as general configuration, transfer/date receive, client and security maintenance. These functions and procedures are made available to our clients to ensure little technical intervention is required once the system is installed. Validation Rules Maintenance This practical feature is designed to ensure data integrity through the enabling of checks that ensure a record cannot be saved unless specified criteria set has been entered. The validation rules, configured by the user, govern the acceptance and quality of data in the database. This feature is particularly important in web applications. Variable Field Descriptions Maintenance This menu option lists the available fields against which you can amend the associated Label name, print label (identified as the report column heading) and the Field level help through the Update a Variable Field Description screen. Workflow – which comprised of, 1. Audit Trail Enquiry 2. Workflow Configuration - Selecting this menu option provides you with access to two features: - Workflow Rule Maintenance, which allows the creation of new Workflow Rules & the Copying, updating & deletion of existing rules and - Workflow Action Maintenance, which permits the assignment of an unlimited number of workflow action against a rule Workflow actions include Letters, Control Cards, Notes, Diary entries, Field Changes and Instructions/prompts. 3.
